Executive Administrator
The Executive Administrator is responsible for the day-to-day administrative and organizational needs of a Non-Profit that provides services to individuals and groups in the community. Provides administrative support to the CEO, Director of Development and Chairman of the Board of Directors [President] including Board of Director meeting preparation and Committee requirements. Must be professional and interact effectively with individuals from all levels of the organization and community members.
Candidate must enjoy working within a small non-profit that is mission-driven and community oriented. This position is for a caring person with a passion for helping others in need and improving their lives. The ideal individual will have the ability to exercise good judgment in a variety of situations, along with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a balance among multiple priorities. Must be able to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Administrator will also be required to perform certain day-to-day accounting duties and maintain specific organization records.
Roles and Responsibilities
- Administrative tasks for the CEO including managing an extremely active calendar, preparing all materials needed for meetings and preparing confidential correspondence
- Research, prioritize and follow up on incoming issues and concerns addressed to the CEO and Board including those of a sensitive and confidential nature. Recommends appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the CEO and external staff, demonstrating leadership to maintain credibility, trust and support with staff
- Prioritizes conflicting needs, handles matters proactively and follows through on projects to successful completion, often with deadline pressures
Qualifications
- Bachelor's degree with strong work ethic
- Experience supporting CEO, preferably in a non-profit organization.
- Strong organizational and interpersonal skills with ability to perform and prioritize multiple tasks with excellent attention to detail in fast-paced environment
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response with both internal and external constituencies
- Strong verbal and written communication skills
- Experience with Board, donor and client management preferred.
- Proven ability to work independently with careful attention to detail.
- Ability to handle sensitive phone and in-person conversations with tact and diplomacy.
- Demonstrated computer skills and proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, QuickBooks, DonorPerfect and Social Media web platforms
- Project management experience preferred and must be able to initiative, demonstrate strong critical-thinking and problem-solving skills and problem-solve while working with diverse work styles.
Job Type: Part-time Hourly / 35 hours per week
